  • Driving licence information.
  • Lesson records – Driving log, progress log, payment record

  • Web site –contact link  where anyone can contact the driving school by email

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons.

Under the General Data protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

We have a Legitimate Interest in gathering pupil information from the pupils to provide pupils with driving lessons, refresher courses they have paid for, as does the pupil have a legitimate interest in receiving driving lessons, refresher courses from B-SMART Driving School.

    (A) Personal contact details: Name, address telephone/mobile number, email address – to send correspondence and information relating to the driving school and it operating procedure, e.g. Covid 19.     

     (B) To arrange appointments for lessons and arrange pick up and drop off point for the start and end of driving lessons

     (A) Driving licence information – so that the driving school can with the pupils agreement and on behalf of the   pupil, book a theory test or driving test with the DVSA

     (B) To check the vehicle category and validity of the pupils provisional/full driving licence, before the pupil starts lessons

     (A) Contract agreement – to set out terms and conditions for driving lessons, refresher courses, between the pupil and the driving instructor

     (A) Lesson records – for lesson planning, pupil progress log, record of lesson payments for accounting purposes

     (B) Police and law enforcement agencies if we are required or need to support a criminal investigation.

     (C) In the event of a road traffic accident, for motor insurance purpose.

We also receive personal information indirectly from parent, guardians or friends, if they are authorised to act for you, to make a payment for lessons or book lessons for you.

We may share information with

     (A) with people you allow us to speak to on your behalf (e.g. parents or guardians if they book lessons for you)

     (B) police and law enforcement agencies if we are required or need to support a criminal investigation

     (C) Insurance companies in the event of a motor insurance claim

     (D) Governmental and regulatory bodies such as HMRC, DVSA, and the Information Commissioners Office

How we store your personal information

  • Paperwork is stored in a locked cabinet
  • Paperwork is removed from the driving school car at the end of each working day and stored in a locked cabinet
  • All electronic devises have strong passwords and have anti software that is kept updated

Data Retention

  • Paperwork that is stored for accounting purposes is held for 5 years, in compliance with HMRC. After this time period has lapsed, the paperwork will be shredded and disposed securely
  • Paperwork not used for accounting purposes, is held for as long as you have purchased driving lessons and have an agreement with us and then for as long as someone could bring a claim against us. It is then shredded
  • Paperwork in the event of a road traffic accident will be retained until such time the claim has ended. The paperwork will then be shredded
  • Electronic devises – data that is stored for accounting purposes is held for 5 years, in compliance with HMRC. After this time period has lapsed, the data will be deleted
  • Electronic devices – data that is not used for accounting purposes, is held for as long as you have purchased driving lessons and have an agreement with us and then for as long as someone could bring a claim against us.
  • Data in the event of a road traffic accident will be retained until such time the claim has ended. The data will then be deleted.
